Know what belongs in your record.

A document, an activity history, and a notarial journal serve different purposes. The records available to you depend on the workflow and your role.

A status is not a completed document

Preparation, consent, and a signature request are steps in the process. A pending or interrupted session does not mean a document was notarized. Check the session status and the delivered document before relying on the result.

What a completed notarization includes

The supported notarization workflow keeps the original and final PDF connected with session events, recording evidence, and the notary’s journal. Completion depends on successful document sealing and evidence archival. A normal electronic signature transaction is not a notarization.

Who can retrieve which files

After successful completion, the signer can download the final notarized PDF. The owning notary can also retrieve their journal and recording files. Journal and recording access is not a public download or a blanket administrator permission.

Retention for the Virginia pilot

The notarization archive is configured to retain evidence for at least five years after the act, with an independent archive copy. This is specific to the notarization workflow; it is not an unlimited storage promise for every document in your workspace. Contact us to confirm retention and export needs before use.

Keep the copy you need

Download your completed document and keep it according to your own requirements. Contact support for access or privacy requests. Required notarial evidence may need to remain in retention even when other account information is removed.
